Follow-up email after a meeting: examples and template
A follow-up email confirms in writing what a meeting agreed. It gives everyone the same list of next steps, and it gives you a record if plans change later.
Good uses for a follow-up email
- After a meeting with a client, supplier or partner, to confirm what both sides agreed.
- After a job interview or a first meeting, to say thank you and confirm the next step.
- After an internal meeting, when people outside the room need to act on the result.
Send it within 24 hours. After that, people have started to remember the meeting differently.
Formal example: a supplier meeting
This is an invented meeting between invented companies. The names are made up.
Example email, formal tone
Subject: Summary and next steps: autumn catalogue printing, 9 September
Dear Mr Walsh,
Thank you for meeting us on Wednesday to discuss the autumn catalogue.
To confirm what we agreed:
- The print run is 8,000 copies, down from 10,000 last year.
- Paper stays at 115 gsm matt.
- Alder Print will deliver in two batches, so the first 4,000 copies reach us before the October sale.
- The price quoted in the meeting was 1.42 dollars per copy, before delivery.
Next steps:
- Alder Print: send the written quote by Friday 11 September.
- Northfield Books: send the final print files by Friday 18 September.
- Delivery date for the second batch: not stated in the meeting. Could you confirm it with the quote?

The line "Delivery date for the second batch: not stated" is on purpose. It turns a gap into a clear question, instead of a promise nobody made.

Thanks for a quick check-in today. The short version:
- Launch moves from 2 June to 16 June while Tom fixes the gift card fault.
- The June promotion now starts on 16 June too.
- The old site stays up until the new one has run for a week without problems.
Who's doing what:
- Tom: fix gift cards and check phone speed, before next Tuesday.
- Lena: move the promotion dates, this week.
- Sam: update the help pages, by 9 June.
Next check-in is Tuesday at 10:00 as usual.

Writing tips
- Put the topic and date in the subject. "Summary and next steps: autumn catalogue printing, 9 September" is easy to find later. "Following up" is not.
- Keep the thank-you to one line. The outcomes are what the reader needs.
- List 3 to 5 outcomes. If there are more, attach the minutes and list only the main ones.
- Give every next step a name and a date. Use company names when writing to another company.
- Ask about gaps instead of filling them. A polite question gets a real answer. A guess gets a surprise.
- Invite corrections. "If anything does not match your notes" makes the email a shared record, not your version.
- Match the tone to the meeting. Formal for clients, suppliers and senior people you do not know well. Friendly for your own team.
