How to get a meeting transcript

Most meeting apps and many phones can write out what was said. Here are the steps for Microsoft Teams, Zoom, Google Meet, iPhone and Android, and what each one needs.

Plans and settings matter. Some of these features need a paid plan, a work or school account, or a setting your IT admin controls. Each section says so plainly. If an option is missing or greyed out, that is the usual reason.

Microsoft Teams

Needs: transcription allowed by your organisation. In the Teams admin centre, the meeting policy setting "Transcription" controls it. Microsoft says it is on by default for new policies, but your admin may have turned it off. By default only the organizer and co-organizers can download the transcript.

Transcription during the meeting

  1. In the meeting controls, select More actions (the three dots).
  2. Select Record and transcribe, then Start transcription.
  3. Check the spoken language of the meeting and select Confirm. Pick Korean for a Korean meeting, or the text will come out wrong.

Transcript download after the meeting

  1. Open Chat and go to the chat of the past meeting.
  2. Select Recap, then Transcript.
  3. Next to Download, open the drop-down and choose .docx or .vtt.
  4. Open the file, select all the text, copy it and paste it into the tool.

Zoom

Needs: a Pro, Business, Education or Enterprise account, with cloud recording and audio transcript turned on. Free (Basic) accounts cannot do this. If the setting is greyed out, your Zoom admin has locked it. Zoom's help page also says audio transcription for cloud recordings supports English only.

One-time setup for audio transcripts

  1. Sign in to the Zoom web portal and open Settings.
  2. Open the Recording tab and check that Cloud recording is on.
  3. Under Advanced cloud recording settings, tick Create audio transcript, then select Save.

Transcript after the meeting

  1. Record the meeting to the cloud. Zoom emails you when the recording is ready, and again when the audio transcript is ready. The transcript can take extra time.
  2. In the web portal, go to Recordings & Transcripts, then the Cloud recordings tab.
  3. Open the meeting. The transcript is a separate VTT file in the list. Download it.
  4. Open the VTT file in a text editor such as Notepad, copy the text and paste it into the tool.

Korean meeting or free account? Record the meeting to your computer instead. Zoom saves an audio file with the recording. If the meeting is 30 minutes or shorter, upload that file to the tool.

Google Meet

Needs: a Google Workspace edition that includes transcripts. Google lists Business Standard, Business Plus, Enterprise Starter, Enterprise Standard, Enterprise Plus, Teaching and Learning Upgrade, Education Plus and Workspace Individual. Personal Google accounts are not on that list. Your admin can also turn the feature off.

  1. On a computer, join or start the meeting.
  2. At the bottom right, select Meeting tools, then Transcribe.
  3. Select Start transcription and confirm in the pop-up.
  4. After the meeting, the transcript is saved as a Google Doc in the organizer's Google Drive, in the Google Meet folder. The host, co-hosts and the person who started it get an email with a link. It is also attached to the Calendar event.
  5. Open the document, select all, copy and paste it into the tool.

iPhone

Needs: iPhone 12 or later. Apple lists English, Korean, Japanese, Chinese and several European languages for transcription. It is not available in every country or region.

Voice Memos

  1. Open Voice Memos (in the Utilities folder) and record as usual.
  2. After recording, tap the recording, then tap the More button (three dots).
  3. Choose Copy Transcript to copy all of it, or View Transcript to select part of it.
  4. Paste it into the tool.

Notes app

  1. In a note, tap the attachment button, then Record Audio.
  2. After recording, tap the recording, open the transcript, then tap the More button and choose Copy Transcript.

Android phones

Google Pixel: Recorder app

Needs: a Pixel phone with the Recorder app, which writes a transcript as you record.

  1. Open Recorder and record as usual.
  2. Touch and hold the recording.
  3. Tap Share, then Transcript (.txt), and choose where to send the text file. You can also share the transcript to Google Docs.
  4. Open the text, copy it and paste it into the tool.

Samsung Galaxy: Voice Recorder with Transcript Assist

Needs: a Galaxy phone with Galaxy AI, the built-in Samsung Voice Recorder app, a network connection and a Samsung account. Samsung says files must be under 3 hours.

  1. Record with the built-in Voice Recorder app.
  2. Open the recording and tap the option to transcribe it. Choose the language that was spoken.
  3. When the text appears, use the share or copy option to take the text out.

Samsung menu names differ between phone models and software versions, so the steps above are general.

Audio-only recordings

You do not need a transcript first. Upload an English or Korean recording of 30 minutes or less, and the tool writes out the words before you choose a purpose. For a longer recording, cut it into parts with a free audio editor, or use one of the transcript options above.
